As a health care professional or physical therapist, you face three recurring challenges when recording your revenue in Accountable: avoiding the need to create one revenue entry per session, linking the correct payment method to each revenue item (whether cash or bank transfer), and protecting patient confidentiality by keeping names out of your records.

Please note that this article provides general guidance only. Tax rules may vary depending on your individual situation. When in doubt, ask your Tax Coach.

This article explains how Accountable helps you solve each of these three challenges efficiently.

What can you do to avoid creating one revenue entry per session?

A profession like yours has specific needs, especially when it comes to recording revenue. The most efficient approach is to track all sales made during the day in a cash register or on paper in a Verkoopdagboek. Group them by day, week, or month for a clear overview. At the end of the day or week, scan the cash register records using the Accountable revenue/expense scanner. You can also enter the accumulated revenue manually. Either way, Accountable generates your VAT returns and financial statements accurately in seconds.

How do you link a revenue item to both payment methods (cash or bank transfer)?

Accountable lets you choose which payment method was used for each revenue item.

For transactions where both methods are combined, select the bank transaction option and note the amount paid in cash in the notes field.

How do you protect your patient's confidentiality when recording revenue?

In the revenue section of Accountable (app or web), when you select Add another revenue, you are not required to enter the client's name. This keeps your patient records confidential.

For payments received from health insurance providers, add these as a revenue invoice with the provider listed as the client.

Key takeaways

  • Group your sessions by day, week, or month in a Verkoopdagboek and scan or enter them together to save time.

  • Use the bank transaction option in Accountable and note any cash portion in the notes field for mixed payments.

  • When using Add another revenue, you are not required to enter a client name, protecting patient confidentiality.

  • Add health insurance provider payments as a revenue invoice with the provider as the client.

The availability of your team to help and guide people to understand their finances better is what really makes Accountable valuable. While the AI is able to give answers to most basic questions, specific scenarios need counsel from a human which your team performs beautifully.

In the world where everyone seems to be out to get small entrepreneurs and overwhelm them with new rules, more taxes and reporting obligations, Accountable often feels like the one steady partner that actually wants you to succeed, providing quick, clear and personalised support. Thank you!

They always answer for questions wherever is via direct e-mail or through app. If they can’t answer fully they will forward you to the right place. Documents were always prepared well and ready to send further to government. Everything is intuitive in the app and easy to sort out even for someone completely green in this field.
