When you start using Accountable, the first thing to do is check your general settings so your taxes are calculated correctly from day one. Below you will find the key steps to get set up, add your revenues and expenses, and track your tax obligations.

General settings

Start by checking your settings. This is the foundation for making sure all your taxes are calculated correctly.

  1. Click on Account at the bottom left.

  2. Go to Settings.

  3. Select Taxes in the settings.

First, select which figures you want to use to calculate your taxes. The default settings are pre-selected, but we recommend using extrapolation for the most accurate calculation.

When you register, Accountable assumes that previous tax years have been completed. If you still need to file taxes for a previous year, you can select that year here.

The next step is particularly important: you need to select your VAT status.

Are you:

  • Subject to VAT

  • VAT Franchisee (small business owner)

  • Exempt from VAT (due to your profession)

Finally, choose whether you want to make income tax prepayments. For more information, read everything you need to know about income tax prepayments.

❗️ If you are self-employed with a side business, specify whether this is your primary or secondary activity and adjust the number of days accordingly.

Adjust income tax prepayments

The purpose of income tax prepayments is to pay 100% of your tax in advance to receive a tax bonus (or avoid a fine, depending on how you look at it).

You can pay progressively in 4 installments of 25%, or make a larger first installment in the first quarter.

Installments are only optional for the first 3 years of your self-employed activity.

Once you have entered all prepayments, Accountable will send you reminders for each installment along with the payment details for the bank transfer.

How to add revenues and expenses

There are several ways to add your revenues and expenses to Accountable.

Create a new invoice from scratch

You can create all your invoices directly in Accountable and send them to your client. Read the full guide on creating your first sales invoice.

Via drag and drop in Accountable Web

For your existing invoices:

1) Go to the revenue screen.

2) Click on Import invoice.

3) Drag and drop your existing invoices and review them.

For your expenses:

1) Go to the expenses screen.

2) Click on Add expense.

3) Drag and drop them into the designated field and review them.

Via email

You can also forward your existing invoices and receipts directly by email.

Send your revenue documents to [email protected] and your expense documents to [email protected].

Accountable will automatically create the revenue and expense entries, which you just need to review and confirm.

Send emails only from the address you used to register in Accountable. Emails from other addresses cannot be matched to your account.

If you want to send from a different email address, add it as an alias under Settings > Personal Details.

Manually

You can also manually add revenue and expenses directly in Accountable. In the revenue screen, click + Add non-invoice revenue.

In the expenses screen, click + Create an expense manually in the top right corner.

How can I see my tax obligations?

You can view your tax obligations at any time under Taxes. If you do not see all of them, click Show all in the top right corner.

What if past obligations are marked as completed but they are not?

1) Click on the three dots at the top right of the declaration you want to unlock.

2) Mark it as Not paid and Not submitted, or select All as not done.

You can then edit and submit the tax declaration.

The availability of your team to help and guide people to understand their finances better is what really makes Accountable valuable. While the AI is able to give answers to most basic questions, specific scenarios need counsel from a human which your team performs beautifully.

In the world where everyone seems to be out to get small entrepreneurs and overwhelm them with new rules, more taxes and reporting obligations, Accountable often feels like the one steady partner that actually wants you to succeed, providing quick, clear and personalised support. Thank you!

They always answer for questions wherever is via direct e-mail or through app. If they can’t answer fully they will forward you to the right place. Documents were always prepared well and ready to send further to government. Everything is intuitive in the app and easy to sort out even for someone completely green in this field.
